Obskur Admin

The internal operations platform of Obskur Studio.

Obskur Admin is the private back office that Obskur BV uses to run its studio. It holds projects and tasks, quotes and invoices, incoming supplier documents and bookkeeping, and ImageBox, the gallery and delivery portal through which clients review and download their photography and film.

It is not a public product. There is no self-service signup and no trial. Accounts exist for the Obskur Studio team and for the client organisations and partners the studio works with, each of them added by invitation by a studio administrator. If you arrived here without an invitation, there is nothing on this page for you to sign up to.

Signing in

Signing in happens with Google, and only with Google. There is no password to set and no second account to keep. When you sign in for the first time, Google asks you to approve the permissions below. You can review or withdraw that approval at any time in your Google Account.

Not every Google account can sign in. Your address must either sit on a domain the studio has vetted, or be an exact address a studio administrator invited by name; an address that is neither is refused at sign-in and no account is created for it.

Why Obskur Admin asks for each Google permission

Obskur Admin asks for the permissions below, and each one carries a feature you can point at in the app. Most of what it does happens inside the Google account you sign in with — but not all of it. Some actions taken on behalf of an organisation run on one administrator's connected Google account rather than on the account of the person who triggered them; daily jobs read a connected mailbox and Drive with nobody signed in, and a job that runs every five minutes can send mail from a connected account around the clock. The privacy policy sets that out under "Access while you are not signed in". What follows is what the application actually does with each permission.

    Read your Gmail messages

    Document filing looks for recent messages carrying a PDF or image attachment, so an invoice or receipt mailed to you is filed against the right entity without you downloading it first; to reach the attachment it retrieves the whole message from Google and takes only the attachment out of it. That search goes on file type, not on subject or sender, so private correspondence and attachments with nothing to do with the studio are picked up and analysed along with the invoices — the privacy policy is explicit about it. The inbox panel reads the sender, subject and snippet of up to ten unread messages to surface the ones still waiting on an answer. Follow-up detection reads the subject, recipient and date of messages you sent in the last fourteen days, and whether the thread has since had a newer message, to tell you who has not answered. And before mail can go out from your own address, Obskur Admin asks Gmail for your account profile to learn the address Gmail will accept as sender — profile metadata rather than mail, but served by this permission and not by the send one. Obskur Admin does not copy your mailbox and does not store message bodies.

    Send email on your behalf

    Client-facing mail can leave from your own address rather than a noreply robot: quotes, ImageBox delivery and review invitations and notifications, workshop invitations, invitations to join an organisation, and the one-time sign-in code a bookkeeper needs to open the document portal. Obskur Admin also sends the monthly ImageBox storage billing summary this way, and the ImageBox notifications a scheduled job flushes every five minutes. Sending is triggered by an action you take in the app, by a scheduled job, or by an action someone else takes that the app answers on your behalf. Obskur Admin does not ask Google for the permission that allows writing to your Drafts folder, so it cannot leave a draft in your mailbox with the access you grant.

    See and manage your calendar

    Obskur Admin reads the calendars on your account and the events in the range on screen, so the built-in calendar shows your real day and the daily planner schedules work around meetings that already exist. The plan it produces is stored, and it holds the titles and times of that day's meetings; the privacy policy says how long. Writing is narrower than reading: when you schedule, reschedule or unschedule a task in Obskur Admin, it creates, updates or deletes the matching event on your primary calendar. It only touches events it created itself.

    See, edit, create and delete your Google Drive files

    You point Obskur Admin at the Drive folders it may work in: a folder of incoming receipts, one of scanned business cards, one for filed documents. It lists those folders so you can pick them, reads and downloads the files inside them, creates dated and "# Scanned" subfolders, moves handled files out of the way, writes the filed document back, and grants or withdraws your bookkeeper's access to a single folder. Obskur Admin asks for full Drive access rather than the narrower per-file permission because the folders it works in already exist, were made by you, and often live on a Shared Drive, which the narrower permission cannot see.

What happens to that data

The privacy policy for Obskur Admin sets out which Google data is read, what is stored and what is not, who it is shared with, and how long it is kept. It also names where Google-derived content leaves our servers: parts of it are sent to Anthropic’s API so a language model can write the summaries, extractions and suggestions the features are made of. Read it before you approve the consent screen.

Obskur Admin's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
